Privacy & Image Use Policy
Memory Keeper Photography
At Memory Keeper Photography, the privacy, safety, and respectful use of student images are extremely important to us. We are committed to handling all photographs and personal information responsibly, ethically, and in compliance with applicable privacy standards.
Image Ownership & Access
All student images are stored in secure, password-protected online galleries. Access is limited to parents or guardians who receive the unique access code provided by the school or Memory Keeper Photography. Images are never publicly accessible unless explicit permission has been granted.
We do not sell, license, or distribute student images to any third parties. Images are only viewable by authorized users unless the parent or guardian chooses to share access.
School Use of Images
Memory Keeper Photography provides images to the school solely for school-related purposes, which may include:
- Student identification
- Yearbooks
- Internal school systems or portals (such as PowerSchool or OnCourse)
Any limitations on school use are governed by permissions or waivers signed directly with the school. Schools are responsible for adhering to those permissions.
Marketing & Public Use
Student images are never used for marketing, social media, website content, or promotional materials without written parental consent.
If a model release is not signed, the child’s image will not be shared publicly in any form.
Image Retention & Storage
Student images are typically available online for viewing and ordering for approximately one (1) year following picture day.
All images are permanently removed from our servers within three (3) years.
Data Collection & Protection
We take data privacy seriously.
- The only information provided by the school is the student’s name and school ID number
- Parent addresses are collected only if an online order is placed requiring shipping
- Address information is used exclusively for order fulfillment
- We do not sell, share, or monetize personal data
Artificial Intelligence (AI) Use
Memory Keeper Photography does not use student images for:
- AI training
- Facial recognition databases
- Machine learning models
- Data mining or automated image analysis
